We work with businesses, government agencies and individuals across Australia, providing practical aviation expertise, training and support. Based in Mayfield East Newcastle, our Head Office team supports a growing national operation.

About the Role

We are seeking a proactive and detail-oriented Administration Support Officer to join our Head Office team in Mayfield East. This is a permanent full-time position working Monday to Friday, 9:00am to 5:00pm. This is a 100% office-based position; working from home or hybrid arrangements are not available.

Key Responsibilities

  • Providing administrative support across Head Office operations
  • Assisting with high-volume data entry and maintaining accurate records across multiple systems
  • Updating customer and student information
  • Assisting with student enrolments and training administration
  • Assisting with coordination of venue bookings and course logistics
  • Assisting with aircraft and product shipments
  • Supporting general office administration and day-to-day business operations

Essential Requirements

  • Previous administration, office support or customer service experience
  • Strong organisational skills and attention to detail
  • Excellent written and verbal communication skills
  • Confidence working across multiple systems and processes
  • A positive, professional attitude
  • The ability to work independently and manage competing priorities
  • Reliable availability to work Monday to Friday, 9:00am to 5:00pm in the Newcastle office

Desirable

  • Experience using Salesforce, Xero and/or Microsoft 365
  • Experience in a small business environment
  • Experience managing shared inboxes or customer enquiries
