The Flight Operations Assistant is responsible for supporting the Flight Operations Department in the administration, coordination, and monitoring of flight crew activities, licensing, training, rostering, operational systems, regulatory compliance, and related administrative functions.
The position ensures that flight crew records, qualifications, training, duty assignments, and regulatory documentation are maintained accurately and in accordance with applicable Company policies, operational procedures, Civil Aviation Authority of Thailand (CAAT) requirements, and other applicable aviation regulations.
The Flight Operations Assistant shall coordinate effectively with internal departments, flight crew members, Approved Training Organizations (ATOs), regulatory authorities, and external service providers to support the safe, efficient, and compliant operation of the Flight Operations Department.
Key Responsibilities:
A. Flight Operations Administration
- Update and administer web manuals relevant to Flight Operations AOC/ACM.
- Generate temporary revisions for OM-C for new airport analysis.
- Process audit finding closure.
- Monitor IQSMS and FDAP reports to coordinate responses.
- Draft internal and external correspondence for official letters to CAAT and other regulatory
B. EFB Administration
- Act as the primary link between the Company and EFB system suppliers.
- Manage EFB hardware and software configuration and ensure equipment remains compliant with the latest regulatory approvals.
- Ensure all software is compliant and updated, and that no unauthorized applications are installed.
- Conduct weekly and monthly audits of EFB systems to ensure databases, firmware, and software are current.
- Train new employees on the use of EFB.
- Activate and deactivate coverage as needed according to the area of operation.
- Notify flight crew of reporting-time changes, delayed reporting times, duty-assignment changes, or other operational amendments as required.
- Ensure the Crew Rostering System is continuously maintained and accurately updated with crew status, availability, qualifications, and roster assignments.
- Monitor crew rosters for compliance with applicable Flight Time Limitations (FTL), duty-period limitations, minimum rest requirements, and other operational restrictions.
- Monitor system alerts relating to crew duty limitations and rest requirements and promptly notify the Director of Flight Operations of any potential or actual non-compliance.
- Prepare and retain monthly summary reports of crew duty assignments, duty time, flight time, and rest periods as required.
D. Flight Operations System and Crew Rostering Administration – FLEXX
- Verify flight information, crew information, aircraft information, airport information, and other operational data entered into the system for accuracy and completeness.
- Assign flight crew to flights and duty periods while ensuring compliance with applicable FTL requirements, duty limitations, rest requirements, qualifications, and operational restrictions.
- Maintain and update crew rosters and implement roster changes, amendments, and cancellations as directed by Flight Operations management.
E. Travel and Crew Logistics
- Organize visas, air tickets, hotel accommodation, ground transportation, and other travel arrangements for pilots and flight crew travelling on Company-assigned duties.
- Coordinate travel arrangements associated with training, checking, licensing, regulatory requirements, and other official Flight Operations activities.
- Ensure travel and accommodation arrangements are made in a timely and cost-effective manner and in accordance with Company policies.
- Maintain appropriate supporting documentation for crew travel and related expenses.
F. Staff Management and Coordination
- Assist in managing, evaluating, developing, and training departmental administrative staff as assigned.
- Provide guidance and support to department staff to ensure duties are performed accurately, efficiently, and in accordance with established procedures.
- Coordinate work assignments and ensure appropriate coverage of essential administrative functions.
- Promote effective communication and cooperation within the Flight Operations Department and with other Company departments.
- Support continuous improvement of Flight Operations administrative processes, systems, and documentation.
G. General Responsibilities
- Perform all duties in accordance with Company policies, Flight Operations procedures, applicable manuals, regulatory requirements, and established standards.
- Maintain professional communication and effective coordination with flight crew, management, internal departments, regulatory authorities, training organizations, and external service providers.
- Maintain confidentiality of Company, operational, financial, and personnel information.
- Support the continuous improvement of Flight Operations processes and administrative systems.
- Perform other duties, assignments, and special projects as directed by the Director or Deputy Director of Flight Operations, Head of Training, or other authorized management personnel
Qualifications:
- Bachelor’s degree in Aviation Management, Airline Business, Aviation Operations, or a related field.
- 1–3 years of experience in Flight Operations, Crew Scheduling/Rostering, Aviation Administration, or a related field.
- Knowledge of CAAT regulations, FTL, crew duty/rest requirements, and flight operations procedures.
- Experience with crew rostering or flight operations systems (e.g., FLEXX) is an advantage.
- Experience in EFB administration is an advantage.
- Thai native speaker is required
- Good command of written and spoken English.
- Strong coordination, organizational, administrative, and problem-solving skills.
- Detail-oriented and able to work under time-sensitive operational conditions.
- Good computer skills, particularly Microsoft Office.
- Able to work flexible hours, including weekends and public holidays when required.
