Pearl Flight Centre | Darwin, NT | Aviation Operations Coordinator

We are seeking Aviation Operations Coordinators to join our Darwin team, with both full-time and casual positions available.

Are you someone who naturally takes ownership, thinks ahead and gets things done?

We support private, VIP, business, charter, military and corporate aviation, so no two days are the same. Our environment is fast-paced, detail-focused and sometimes unpredictable, and that’s exactly why we’re looking for someone who thrives on it.

This role is for someone who:

  • Takes initiative rather than waiting to be told what to do.
  • Is organised, reliable and accountable.
  • Can confidently manage multiple priorities at once.
  • Thinks ahead and anticipates what needs to happen next.
  • Communicates clearly with clients, crew, suppliers and internal teams.
  • Remains calm when plans change or pressure increases.
  • Notices the small details that others miss.
  • Is comfortable working independently and making decisions within their responsibilities.
  • Takes pride in representing the business professionally.
  • Wants to learn, develop and become an integral part of the operation.

What you’ll be doing

You’ll play an important role in coordinating daily aircraft movements and ensuring our clients and crew receive a seamless experience. This is a hands-on, varied role that will see you working both in the office and out on the ramp, depending on operational requirements.

Your responsibilities may include:

  • Coordinating aircraft arrivals and departures.
  • Monitoring and communicating ETA, ETD, MVT and operational changes.
  • Providing aircraft ground handling and support, coordinating parking and ground support, and refuelling.
  • Liaising with pilots, crew, clients, suppliers and authorities.
  • Coordinating CIQ, ABF, DAFF and other regulatory requirements.
  • Organising ground transport, catering and other client requirements.
  • Preparing operational information and documentation.
  • Coordinating operations and manpower requirements.
  • Managing last-minute changes and operational challenges.
  • Supporting administrative tasks, coordinating domestic and international trip planning, and managing fuel orders.
  • Maintaining accurate records and ensuring important details don’t fall through the cracks.
  • Working closely with the wider PFC team to deliver a high level of service.

What we’re looking for

Experience in aviation, ground handling, FBO, flight operations, logistics, hospitality or another fast-paced operational environment is highly regarded.

More importantly, we want someone with the right mindset.

You don’t need to know everything on day one. We can teach you our systems and processes.

What we can’t teach is work ethic, initiative, accountability and genuine pride in doing a great job.

You’ll need

  • Excellent communication skills.
  • Strong attention to detail and accuracy.
  • Excellent organisational and time-management skills.
  • The ability to prioritise tasks and remain calm under pressure.
  • Confidence communicating with a wide range of people.
  • A proactive, practical and solutions-focused approach.
  • Strong computer literacy and administrative skills.
  • The ability to work independently and collaboratively as part of a team.
  • Flexibility to work in line with operational requirements.
  • A current Australian driver’s licence.

Highly regarded (desirable, but not essential)

  • Previous aviation operations, FBO or ground handling experience.
  • Airside experience, including aircraft marshalling, ramp operations or ground support equipment (GSE).
  • Experience with domestic and international trip planning or flight support.
  • Dangerous Goods (DG) Certificate.
  • First Aid Certificate.
  • Human Factors Training.
  • Aircraft Radio Telephone Operator Certificate.
  • DAMP Awareness Training Certificate.
  • Aviation Security Identification Card (ASIC).
  • Authority to Drive Airside (ADA).

At Pearl Flight Centre, we don’t just move aircraft, we look after people.

Our clients expect professionalism, discretion, efficiency and attention to detail, and our team takes genuine ownership of delivering that experience.

Compliance Notes

All candidates must meet Civil Aviation Safety Regulations Part 99 regarding drug and alcohol testing and must be eligible for an Aviation Security Identification Card (ASIC) throughout employment.

Applicants must be Australian Citizens or Permanent Residents.
